Know the product.
Fix the process.

We start where most consultants don't: with a thorough understanding of your product and how it flows through your business, from the first enquiry to the final payment. Along the way, we uncover what's quietly costing you time, money and quality, and help you win them back.

The problem

Every business grows its own labyrinth.

Processes pile up over the years. A workaround becomes a rule, a spreadsheet becomes a system, and nobody remembers why. As the company grows, the people who decide drift further from the people who do the work. We bring the thread that traces each process back to its purpose and ties both sides together again.

Sound familiar?

  • The same data is typed into three different tools.
  • A change that would take a day waits months for approval.
  • Some rules exist only on paper, and some of the best fixes exist only in one person's head.
  • New staff need months to learn “how things are done”.
  • The people who build your tools never use them, and updates make daily work harder, not easier.
  • Payments fail, arrive late or are hard to reconcile.
  • Customers get stuck at the same step, and nobody inside can see why.

Services

What we improve

Wherever your business runs on a process, we can help. A few examples:

I

Operational pipelines

From order to delivery: fewer manual steps, fewer errors and clear ownership.

II

Rules and standards

In-house rules people can actually follow, built on the know-how your best people already have.

III

IT and tools

The right tools, properly connected, so data is entered once.

IV

Product and customer experience

Your product and website through your customers' eyes: where they hesitate, get stuck or give up, and what to change.

V

Management and decisions

Clear responsibilities, the right numbers in front of the right people, and decisions that don't wait on one person.

VI

Payments

New payment methods, a smoother, more convenient checkout and cleaner reconciliation.

How we work

The Mētis method

Mētis (μῆτις) is the ancient Greek word for practical wisdom, the skill of solving real problems, and it's at the core of everything we do.

  1. 1

    Learn

We dig into your product, your team and how work really flows today.

  2. 2

    Find

We map the system and pinpoint the weak spots, bottlenecks and risks.

  3. 3

    Fix

You get clear, practical solutions, starting with the ones that make the biggest difference.

  4. 4

    Follow through

We help put the fixes in place and make sure they actually work.

Not quite the right fit? These packages are a starting point, not a rulebook. If you need a little of one and a little of another, we'll put together an arrangement that works for both of us. Tell us what you need →

About

Founder-led, always

Hi, I'm Armin, the founder of Sapheia. I started out in a small family business in retail and sales, where I was given free rein early on to change whatever wasn't working, from how the shop was laid out to the standards we worked by. Every change showed in the results, and I was soon trusted with training newcomers. That sparked my interest in how people learn and work, which led me to study psychology at university. What I learned there still shapes how I see the way people and processes fit together.

Since university, I have worked in day-to-day operations at a smaller iGaming start-up and, most recently, in anti-money-laundering at one of Estonia's largest fintech companies. Small or large, I kept seeing the same thing from the ground floor: changes that would have taken a day were held up for months by layers of approval. The tools were built by people who never used them, so updates meant to help often made the work slower. Even when a change was genuinely required by regulation, it was rolled out in a way that got in the way of the work, all because of the distance between the people who decide and the people who do the work.

I started Sapheia to close that distance: to learn your product the way your team uses it, and to fix what slows them down. I take personal responsibility for every project, so you always know who you're working with.

Sapheia (σάφεια) is the ancient Greek word for clarity. It's what every project should leave behind.
